What Evidence Should Sit Behind the Return
The Federal Tax Authority says Corporate Tax records must support the information in the Tax Return and allow Taxable Income to be readily ascertained. The pack should connect the financial statements and trial balance to tax adjustments, related-party charges, free-zone classifications and payment proof. Federal Decree-Law No. 47 of 2022 requires relevant records to be kept for seven years.

The filing pack needs a clear spine
An evidence pack is not a pile of PDFs. It is the route from the signed financial statements to the figure entered in the Corporate Tax Return. Put the closing trial balance first, then show the reconciliations, the tax adjustment schedule and the final return version. A person who did not prepare the accounts should be able to follow that route without asking which spreadsheet is current. If the route stops at a summary number, the file is not ready.
The Federal Tax Authority says records must support the information in the return and allow Taxable Income to be readily ascertained. Its published examples include the transaction record for the Tax Period, the asset record, the liabilities record and the stock record. Those objects give the review a starting point. They are more useful than a generic folder named tax documents.
Begin with the identity of the filing. Record the legal entity, Tax Registration Number, Tax Period and accounting principles used in the financial statements. Add the return acknowledgement when it exists. If the company files from consolidated group accounts, check the FTA position first, because a UAE entity normally needs stand-alone financial statements unless it is part of an approved Tax Group.

Make the tax bridge reproducible
A tax bridge should show every material movement between accounting profit and taxable income. Give each adjustment a label, ledger reference, source document and explanation. A reviewer should not have to infer whether an amount is an add-back, an exemption, a timing item or a correction to the closing accounts. The schedule is the explanation. The source document is what makes the explanation credible. Keep the calculation close to the ledger line it changes.
Worked example for the method, not a client result: a draft profit of AED 480,000 has an AED 72,000 adjustment supported by the expense file and an AED 12,000 subtraction supported by the exemption working. The bridge is AED 480,000 + AED 72,000 - AED 12,000 = AED 540,000 before other adjustments. The final pack should retain the ledger lines and documents behind all three amounts.
The example does not prove that any particular expense is deductible or any particular income is exempt. It shows what the arithmetic should look like when the reviewer tests the bridge. If an adjustment cannot be tied to a dated contract, invoice, agreement, schedule or accounting entry, mark it open. Do not let a rounded tax number hide an unsupported judgment.

Give every claim its own evidence
Different claims need different evidence. A signed account proves the financial starting point. A contract explains the commercial arrangement. A payment record shows settlement. A customer or supplier file may explain the transaction's context. Do not ask one invoice to prove all of those things. The document should answer the question that the tax treatment creates.
A compact evidence map saves time at the decision point. For every material return line, write the claim, name the object that supports it and state the test applied. That makes missing evidence visible while the finance team can still retrieve it. It also stops a file from looking complete merely because it contains many attachments.
If the reviewer cannot connect a document to a line in the return, move the document into a supporting index or remove it from the claimed evidence. The FTA may request financial statements and supporting records. A clean index tells management what is ready, what is missing and what needs a tax decision before the submission is approved.

An invoice does not settle a group charge
A related-party or Connected Person charge needs a file that explains the service, benefit, price and payment. Keep the agreement, scope of work, calculation, evidence the work happened and the payment trail together. If the charge is shared across entities, show the allocation basis. The invoice identifies the amount. It does not, by itself, prove the commercial substance or the arm's-length result. The file should let an outsider understand why the charge exists.
The same discipline applies to free-zone treatment. Keep the income map beside the customer contracts, activity description, substance records and transfer-pricing working. A spreadsheet label saying qualifying income is only a conclusion. The contract and the actual work must support it. If an owner or group company supplied the service, make that relationship visible rather than leaving it in a general ledger code.
The mistake we see most is filing the return with a clean adjustment schedule and no source folder behind it. The schedule looks finished until someone asks for the agreement or the calculation. Name the actual object before approving the line. If it is not in the file, the business has a task, not a completed claim.

Keep the filed version and its support
The final folder should contain the version that the business actually approved. Save the signed financial statements, final trial balance, tax bridge, evidence index, return acknowledgement and payment proof together. Add a short note for every unresolved item. A later adviser should be able to tell which documents supported the filed number without comparing several old email attachments. Do not let the submitted return become the only surviving copy of the reasoning.
The FTA says relevant records and documents must be retained for at least seven years after the end of the relevant Tax Period. That period makes naming and version control part of the tax file, not an office preference. Use the entity and Tax Period in the folder name, then preserve the original source documents and the working papers that explain the tax treatment.
The FTA General Corporate Tax Guide states that, apart from financial statements, the Corporate Tax Law does not specify exactly which records must be kept or the format in which they must be kept. That is the boundary of the evidence. It does not make records optional. We recommend a simple claim-to-document index because it gives the business a defensible structure without pretending that one standard folder fits every business.
